What is Rendezvous South?
Rendezvous South is a boutique conference experience that brings together qualified meeting and event planners with destination teams from across the South through pre-scheduled appointments, networking events, education, and authentic relationship-building opportunities.

How do the appointments work?
Appointments are scheduled in advance and consist of 15-minute face-to-face meetings with destination teams. Each team typically includes representatives from the CVB, hotels, and venues, allowing planners to gather information from multiple stakeholders at one time.
Can I request meetings with specific destinations?
Absolutely! We encourage planners to share the destinations they are most interested in. While we cannot guarantee every request, our team works hard to create the most productive schedule possible.
Do I schedule my own appointments?
No. Our team manages appointment scheduling on your behalf. Your final schedule will be emailed to you at least a week before the event and will also be available in the conference app and in materials you will receive at registration.
Is there a cost for qualified planners to attend?
Qualified planners attend as hosted guests. Registration, travel expenses, hotel accommodations, most meals, and many event activities are provided compliments of Rendezvous South. Certain incidental expenses, such as airport parking, checked baggage, or personal purchases, will be the attendee's responsibility.
What should I wear?
Business casual attire is appropriate for most daytime functions and appointments. Evening receptions may be slightly more relaxed. Specific recommendations will be provided prior to the event via email.
What happens if I need to cancel?
Because attendance is limited, we ask attendees to notify us immediately if plans change so that we may offer your spot to someone on our waitlist. Cancellations within 15 days of the start of the event may be subject to a cancellation fee due to non-refundable deposits already paid. If we have arranged your travel, you will be responsible for reimbursing us, and will be able to use the travel credit in your name.
Is attendance required for all scheduled events?
Yes. Hosted attendees are expected to participate fully in appointments, educational sessions, meals, and networking events. Your commitment ensures value for all participants and helps maintain the integrity of the hosted-buyer experience.
Can I bring a guest?
Guest attendance is generally limited and subject to approval. Please contact the Rendezvous South team regarding guest policies.
